The Administrative Assistant, Sales, provides high-level administrative support across executive operations, event planning, procurement, sales, and marketing. This role is responsible for managing calendars, coordinating travel and meetings, handling expense reports, and executing special projects. The ideal candidate will also lead logistics for internal and client-facing events, support procurement and sales operations, and contribute to marketing initiatives with precision and professionalism.

Responsibilities

The Administrative Assistant provides executive support by managing complex travel arrangements and itineraries, preparing and submitting expense reports, taking meeting minutes when needed, scheduling and coordinating cross-departmental meetings, maintaining executive calendars, monitoring email communications, and executing special projects.

 

This role coordinates logistics for major company events such as the Annual Sales Meeting, Quarterly Business Development Meetings, advisory board sessions, client events, senior management team meetings, and community initiatives like blood drives.

 

In procurement, responsibilities include managing promotional item orders, conducting monthly card audits, administering travel cards for employees, supporting Concur training and communications, maintaining SharePoint administration, monitoring departmental mailboxes, and taking on additional responsibilities as needed.

 

The role also supports sales operations by administering SharePoint for business development, coordinating client and employee gifts and awards, ensuring compliance with performance management and SOP deliverables, reviewing and approving expense reports, recording and posting meeting content, submitting procurement requests, managing team communications, and supporting special projects.

 

In marketing, the Administrative Assistant maintains and updates the conference tracker and oversees planning and logistics for tradeshows.

Qualifications

Knowledge, Skills, and Experience

  • Bachelor’s degree preferred in Business Administration, Communications, or related field, or equivalent years of experience.

  • Minimum of 3–5 years of experience in executive support or administrative roles.

  • Experience supporting senior leadership and coordinating cross-functional projects.

  • Event planning and procurement experience strongly preferred.

Knowledge

  • Executive operations and calendar management.

  • Corporate event planning and logistics.

  • Procurement workflows and compliance.

  • Sales and marketing support functions.

  • Internal communications and reporting tools.

  • Familiarity with performance management and SOP compliance.

Skills

  • Exceptional organizational and time management skills.

  • Strong written and verbal communication abilities.

  • High level of discretion and confidentiality.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • Experience with Concur, SharePoint, and other enterprise systems.

  • Ability to manage multiple priorities and meet deadlines.

  • Strong interpersonal skills and a collaborative mindset.

  • Attention to detail and problem-solving capabilities.

The role requires excellent interpersonal skills and the ability to work effectively with diverse groups, including internal staff and clients. A positive, can-do attitude is essential, along with accountability, ownership, and pride in one’s work. The ability to solve both simple and complex problems—and knowing when to seek assistance—is critical to success.

 


Compensation & Benefits:  This position offers opportunities for a bonus (or commissions), with total compensation varying based on factors such as location, relevant skills, experience, and capabilities.

PTO is determined based on an employee’s first year of service. Employees also receive eight standard company holidays and three floating holidays annually, with prorations applied in the first year.

Posted Salary Range

USD $54,700.00 - USD $77,800.00 /Yr.
